You'll join the ITS&E South Coast team within the Engineering & Technology Branch, reporting to the Principal Engineer. The team sits in Transport Operations Technologies, which looks after the technology that keeps the road network running safely and moving people and goods efficiently. Your job is to keep the project managers and the team organised, on track and compliant, so the road infrastructure projects get delivered on time.

What you'll be doing

  • Providing high-level admin support to project managers and the team: coordinating meetings, taking and distributing minutes, preparing documents, reports and presentations
  • Setting up and maintaining spreadsheets and registers, and keeping everyone up to date with timely information
  • Supporting financial approval documentation, contract administration systems and procurement activities, including preparing procurement documentation and assisting with tender processes
  • Liaising with external parties in line with the department's procurement and governance framework
  • Compiling, tracking and recording project documentation, and following up to make sure deliverables and approvals land within set timeframes
  • Making sure practices meet departmental and regional policy, legislation (including WH&S) and governance obligations

What you'll need

  1. Solid experience providing administrative or project support to project managers or project teams, ideally in an infrastructure, construction or government setting
  2. A high level of competency in Microsoft 365, especially Word, Excel and PowerPoint
  3. A basic understanding of procurement, with procurement or finance experience in an infrastructure environment highly regarded
  4. Experience preparing documents, reports and minutes, and maintaining registers and spreadsheets
  5. Strong communication skills and the ability to build good working relationships with internal and external stakeholders
  6. A sharp eye for detail and the persistence to chase documentation and approvals through to completion
  7. A current C class driver licence, and willingness to undergo employment screening, including a criminal history check

What's on offer: an AO3 equivalent rate, a 12 month contract starting mid-November with possible extension, and a great opportunity to be part of a supportive TMR team on the Gold Coast.
