As an enthusiastic Facilities Coordinator/Administrator, you will report to the Director of Facilities and play a key role in the provision of property maintenance administration services throughout this unique portfolio.Working as a part of a small, dynamic team, your main responsibility will be to support the team. You will manage meeting room bookings, access controls, order supplies and deal with any other ad-hoc requests. You will organise access for trades and contractors, allocate access passes and keys for internal staff, help with fleet coordination, parking, assist with mail room, ordering supplies and dealing with any other ad-hoc requests. You will manage a high volume of maintenance requests and be the first point of contact for facilities and building issues. You will also be involved with WHS reporting, Compliance and Accreditation as well as safety and risk management.
Your tasks will include:

Taking calls from clients, ascertain needs and log issues Distributing work orders and managing maintenance requests Visiting different campuses, help out and allow trades to access Raising purchase orders, data entry, photocopying, printing etc Support and coordinate the compliance calendar Assisting the team in general

You will have: At least 2 years of experience in a Facilities role Ideally exposure to CMMS and maintenance or FM systems. Initiative to get the job done Demonstrated experience using maintenance or facilities management systems. Ability to build relationships Understanding of WHS obligations and contractor management systems Excellent written and verbal communication skills Confidence and resilience Well developed computer & admin skills, spreadsheets and Microsoft Office
To be successful, you will be well presented, with excellent communication skills and have the ability to process high volumes of requests quickly and accurately. You will be extremely proactive, a team player with a hands-on approach and have a commitment to getting the job done.
