Your new role
You will support the day-to-day operations of the Facilities Management team on a medium-sized site.
- Meet and greet contractors on site, issue keys and contractor identification badges, and ensure all required compliance processes are completed prior to site access, including inductions.
- Maintain the works management and asset management system by converting site work requests into work orders and issuing them to engineering trade staff.
- Manage the Facilities Management inbox and respond to or redirect departmental emails as required.
- Prepare invoices for electronic approval and signature by the Deputy Campus Facilities Manager and Campus Facilities Manager.
- Prepare work permits, shutdown permits and associated documentation to support planned works.
- Answer calls to the Facilities Management office, take messages and direct enquiries to the appropriate team members.
- Arrange after-hours contractor keys and identification badges, and issue relevant notifications.
- Provide administrative and operational support to the Deputy Campus Facilities Manager and Campus Facilities Manager as required.
What you'll need to succeed
Previous experience in facilities administration, work order coordination, contractor management or a similar support role.Strong administration skills with the ability to manage emails, phone enquiries, records, permits and general documentation accurately.Experience using a work management, asset management or maintenance request system is highly regarded.Strong communication and customer service skills, with confidence liaising with contractors, trades staff and internal stakeholders.High attention to detail, particularly when checking compliance requirements, inductions, permits and invoices.Ability to prioritise tasks, work in a busy office environment and support multiple team members as required.A proactive, organised and professional approach, with the ability to follow processes and maintain confidentiality.What you'll get in return
The role is being offered on an initial temporary contract from the 29th September until 4th December. You will also be offered:
- 37.5 hours Monday to Friday
- Weekly pay structure, equivalent to level G3
- Convenient location to train and bus stations
- This is a temporary contract to cover a period of leave
