Position Summary:
The Office Manager is responsible for coordinating the day-to-day administrative functions of the organisation to support the effective delivery of Specialist Disability Accommodation (SDA) services. The role ensures efficient office operations, maintains accurate participant and property records, supports compliance with NDIS requirements, and provides high-quality administrative support to participants, staff, and stakeholders. The Office Manager plays a key role in maintaining organised systems, supporting participant onboarding, coordinating documentation, and contributing to the smooth operation of the organisation.
Minimum Requirements:
AQF Diploma or higher qualification and minimum 1 year of relevant experience.
Key Responsibilities:
- Office Administration
- Manage the day-to-day administration of the office.
- Monitor administrative staff performance and workflow efficiency.
- Participant Administration
- Prepare participant intake and onboarding documentation.
- Maintain participant records and ensure documentation is current.
- SDA Administration
- Maintain records relating to SDA properties, enrolments, and participant occupancy.
- Assist with the preparation of SDA documentation, including Appendix H applications, enrolment documentation, and participant correspondence.
- Compliance and Quality
- Assist with preparation for NDIS Commission audits.
- Maintain incident, complaint, and feedback registers.
- Property Administration
- Coordinate maintenance requests and contractor bookings.
- Maintain records of property inspections and compliance certificates.
- Stakeholder Coordination
- Act as the first point of contact for participants, families, Support Coordinators, SIL providers, allied health professionals, contractors, and external stakeholders.
- Coordinate meetings and appointments with stakeholders.
- Financial Administration
- Process invoices and purchase orders.
- Assist with budgeting information and financial reporting.
- Human Resources Administration
- Coordinate recruitment administration, including advertising, interviews, reference checks, and onboarding documentation.
- Maintain staff leave and attendance records.
Skills & Qualities Required:
Essential
- Strong organisational and time management skills.
- Demonstrated ability to supervise and coordinate administrative staff.
- Excellent written and verbal communication skills.
- High level of computer literacy, including Microsoft Office and cloud-based systems.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality.
- Current National Police Check.
- Current Driver Licence.
Desirable
- Experience in the NDIS, disability, community services, housing, or SDA sector.
- Knowledge of SDA and NDIS administrative processes.
- Certificate IV or Diploma in Business Administration, Business Management, Community Services, or a related field.
- Experience supporting compliance and audit preparation.
