THE OPPORTUNITY

We are seeking a diligent, motivated and proactive Office Coordinator to join our Perth Office. Reporting to,and working closely with the Executive Assistant to the CEO, the Office Coordinator is crucial to the efficient and seamless functioning of our office, by providing administrative assistance, office coordination, professional reception services and travel logistics to the team.

The Office Coordinator will be responsible for:

  • Providing reception and front of house office support, welcoming and receiving visitors, customers and suppliers to the GMA Perth office and extending professional hospitality that models our Values and approach to business.
  • Providing administrative support to ensure a stable, professional and well-supported workplace, ensuring office provisions and consumables consistently meet the needs of the office.
  • Coordinating and liaising with stakeholders such as external building management, couriers, service providers and visitors to ensure and support the safe and effective operation of the office.
  • Leading the coordination and planning of office functions, events and recognition celebrations and awards.
  • Facilitating internal communications.
  • Developing cohesive travel itineraries as required, coordinating flights, accommodation, meals and transport.
    Managing Corporate credit cards and expenses.
  • Ensuring office safety and hygiene standards are maintained and leading the maintenance of shared office facilities and resources.
  • Identifying and leading continuous improvement opportunities for the office.

REQUIRED QUALIFICATIONS AND EXPERIENCES

  • 5+ years demonstrated experience in Administration, Office Coordination or similar supporting senior leaders and working with executive stakeholders.
  • Diploma of Business or similar desirable.
  • Strong organisational skills, high attention to detail and demonstrated ability to manage competing priorities.
  • Strong interpersonal and communication skills.
  • Proven ability to handle confidential and sensitive information.
  • Ability to work independently, use initiative and proactively identify and solve problems.
  • Working rights in Australia required.
