PROGRAMMED Energy and Resources has an exciting opportunity for an organised and motivated Administration Assistant to join our team. You will support our Upper Hunter operations from the Newcastle area. About the Role

As the junior admin assistant, you'll provide essential administrative support for our Industrial Maintenance operations, ensuring business processes are completed accurately, efficiently and on time.

Your responsibilities will include:

  • Providing administrative support across multiple Programmed locations when required.
  • Liaising with customers, suppliers, service providers and internal stakeholders
  • Processing accounts payable invoices and supporting customer invoicing activities.
  • Performing accurate data entry and maintaining customer and operational databases.
  • Supporting payroll through the daily scanning and checking of timesheets and resolving payroll queries.
  • Assisting with debtor management and customer account administration.
  • Preparing reports and maintaining business documentation.
  • Compiling Material Data Register (MDR) documentation in accordance with customer requirements.
  • Maintaining KPI reporting, vehicle inspections and operational records.
  • Assisting with office administration, including stationery, uniforms and workplace consumables.
  • Providing administrative support across multiple Programmed locations when required.
  • Supporting a safe, compliant and well-organised workplace.

About You

To be successful, you'll have:

  • A genuine desire to join an office environment within the industrial maintenance sector
  • Highly organised with great attention to detail.
  • Motivated, proactive, and eager to learn.
  • Able to work well in a fast-paced environment.
  • Good communication and computer skills.
  • Ready to commit to an immediate start and a Monday-Friday roster.
  • Previous administration experience within a busy office environment, ideally supporting multiple sites or operational teams (desirable).
  • Certificate II in Office Administration or a relevant business qualification (desirable).
