Your new company
Our State Government client is seeking an experienced Executive Assistant who has previously supported senior leaders within a healthcare, hospital, or government health environment. The successful candidate will be comfortable working in a fast-paced setting, managing sensitive information, coordinating high-level stakeholder engagement, and supporting business units involved in service delivery, quality, safety, governance, or clinical operations. The contract will be on an initial 3-month contract with potential for extension.
Your new role
- Provide high-level executive and administrative support to senior leadership, ensuring the efficient management of daily operations, priorities and workflows.
- Manage complex diaries, coordinate meetings, schedule appointments and oversee travel and accommodation arrangements.
- Prepare, proofread and quality assure executive correspondence, reports, briefing notes, presentations and other business documentation.
- Coordinate executive, governance and committee meetings, including preparing agendas, distributing papers, taking minutes and tracking action items.
- Act as a key liaison between senior leaders and internal and external stakeholders, maintaining professional relationships across healthcare, government and partner organisations.
- Manage confidential records, correspondence tracking systems and electronic document management processes, ensuring accuracy and compliance.
- Undertake research, data collection and analysis to support executive decision-making, strategic initiatives and business improvement activities.
- Monitor and coordinate the progress of key projects, briefings, presentations, ministerial correspondence and other priority deliverables.
- Coordinate workshops, events and executive functions, ensuring all logistical and administrative requirements are delivered to a high standard.
- Contribute to continuous improvement initiatives, governance processes and the promotion of quality, safety and compliance within a complex healthcare environment.
What you'll need to succeed
- Previous Executive Assistant experience supporting senior executives, Directors, Executive Directors or equivalent.
- Demonstrated experience working within WA Health, a Health Service Provider, hospital network or broader healthcare environment.
- Strong experience preparing board papers, agendas, minutes, executive briefings and high-level correspondence.
- Ability to manage competing priorities and work effectively in a fast-paced, high-volume environment.
- Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Excellent stakeholder engagement, communication and relationship management skills.
- Strong research, analytical and problem-solving capabilities.
- Experience supporting clinical governance, patient safety, quality improvement, executive services or healthcare leadership teams will be highly regarded.
