We have a fantastic opportunity with a highly regarded financial services firm, supporting the Chairman in a fast-paced, high-profile, and rewarding role. This is a permanent, full-time role, based onsite in Melbourne's CBD.
We are seeking an experienced Executive Assistant with a proven track record supporting C-Suite executives. The successful candidate will be highly professional, discreet, polished, and confident managing competing priorities in a dynamic environment. Extensive Board support experience, exceptional organisational skills, and the ability to engage with senior stakeholders and VIP guests are essential.
Key Responsibilities:
- Providing direct executive support to the Chairman
- Complex diary and inbox management
- Monitoring correspondence and ensuring all requests are actioned and followed up appropriately
- Dictation and preparation of reports, client file notes, letters, and correspondence
- Coordinating domestic and international travel, including detailed itineraries and meeting schedules
- Meeting and greeting guests, with an understanding of protocol when dealing with business leaders, VIPs, and politicians
- Providing personal and family assistance as required
- Assisting with the organisation of functions, workshops, and meetings
- Managing events, including boardroom lunches and dinners, invitations, RSVPs, catering, venue coordination, seating plans, and event oversight
- Preparing, printing, binding, and filing Board papers and other documentation
- Leading the administration team as the Senior EA, ensuring the smooth operation of the firm's administrative support function
About You:
- Extensive Executive Assistant experience supporting senior executives at C-Suite or Board level
- Strong Board administration and governance experience
- Exceptional communication and stakeholder management skills
- Highly organised with the ability to manage multiple priorities and tight deadlines
- Professional, proactive, and able to maintain absolute confidentiality
- Comfortable interacting with high-profile individuals and senior business leaders
