About the Roles:

A high‑profile Federal Government program is seeking Contract & Vendor Managers to effectively establish and manage key contracts and vendor relationships, ensuring compliance and contractual obligations are met, and to drive cost savings and process improvements.

Contract & Vendor Managers

This role is responsible for overseeing the supplier and contract management lifecycle, from initial negotiations and execution to ongoing performance monitoring and reporting. The ideal

candidate for this role will possess exceptional communication and negotiation skills, a deep

understanding of procurement best practices, and the ability to work collaboratively with

cross-functional teams to achieve optimal outcomes for the organisation. 

Key responsibilities and tasks:

  • Lead a small team responsible for critical supplier and contract management functions
  • Coordinating contract negotiation and execution by liaising with internal stakeholders and external vendors to negotiate terms and conditions for contracts, ensuring proper documentation and execution.
  • Collaborating with procurement teams to ensure timely and accurate processing of contracts, including amendments, extensions, and terminations.
  • Monitoring and managing timekeeping records for contractors and vendors, as well as processing invoices and ensuring prompt payment according to agreed-upon terms.
  • Overseeing end-to-end contract management; from initiation through execution, performance, and closeout, ensuring that all stages of the contract lifecycle are effectively managed and monitored.
  • Establishing and updating a comprehensive register of approved suppliers, including contact information, service offerings, and performance history.
  • Regularly communicating contract status updates, milestones, and deliverables to relevant stakeholders, both internally and externally.
  • Collaborating with in-house counsel or external legal experts to address any legal concerns or disputes arising from contractual agreements.
  • Continuously assessing vendor performance against established KPIs, providing regular reports to management, and identifying areas for improvement or optimisation.
  • Contribute to the development and implementation of organisational policies and procedures related to supplier and contract administration functions.
  • Establish and maintain strong working relationships with internal and external stakeholders.

Skills and capability:

  • Tertiary degree in Business, Finance, or a related field
  • Minimum of 5 years of experience in contract management, procurement, or vendor relationship management
  • Strong knowledge of procurement best practices, regulatory requirements (e.g., Section 23), and contract law
  • Exceptional negotiation and communication skills, with the ability to build and maintain effective relationships with internal stakeholders and external vendors
  • Proficiency in Microsoft Office Suite, particularly Excel and Word
  • Experience using contract management software or other relevant tools
  • Demonstrated ability to work independently and as part of a team, with excellent time management and problem-solving skills
  • Strong attention to detail and commitment to accuracy and compliance in all aspects of contract management
  • Proven track record of successfully managing complex contracts and improving vendor performance
  • Ability to adapt quickly to changing priorities and business needs
  • Stakeholder management skills, including the ability to build and maintain effective relationships with internal stakeholders and external vendors
  • Interpersonal skills, such as active listening, empathy, and conflict resolution, to facilitate smooth collaboration and communication among team members and stakeholders.
