Your new role
Reporting directly into the leadership team, this is a broad and varied Business Operations Coordinator position with a strong Office Manager focus.
You will become the central point of coordination for the Australian business, ensuring the day-to-day operations run smoothly while supporting a range of administration, people, finance and executive support functions.
Key responsibilities will include:

  • Managing the day-to-day running of the Melbourne office
  • Providing executive and administrative support to senior leaders
  • Coordinating onboarding, offboarding and employment contracts
  • Supporting administration and candidate coordination
  • Assisting with payroll preparation, employee expenses and leave administration
  • Processing invoices and providing general administration support
  • Coordinating company travel, meetings, events and annual offsites
  • Managing supplier relationships, office facilities and business services
  • Supporting internal communications, LinkedIn content and marketing collateral
  • Maintaining company policies, records, insurance documentation and compliance requirements
  • Acting as the go-to person for staff support and office coordination

This role offers significant variety and is ideal for someone who enjoys being involved across all areas of a growing business rather than specialising in a single function.

What you'll need to succeed

  • Previous experience as an Office Manager, Executive Assistant, Business Operations Coordinator or similar
  • Strong experience supporting senior stakeholders within a professional services, consulting, engineering or corporate environment
  • Exceptional organisational skills with the ability to manage multiple priorities
  • A proactive, hands-on approach and willingness to take ownership
  • Strong written and verbal communication skills
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint
  • The ability to work autonomously while building strong relationships across the business

Highly regarded:

  • Experience with Xero, Canva or similar business systems
  • Experience within a growing SME environment
